Overview

  • We are seeking a contractor to provide operational support and financial tracking across Research Operations and Resource Management during a temporary coverage period. This role will help maintain key operational systems, reporting workflows, and budget tracking processes that support portfolio visibility, internship program management, and headcount tracking within the Research & AI organization.
  • The ideal candidate is a highly organized operations professional with strong Excel and reporting skills, comfortable working with complex spreadsheets, tracking budgets, and compiling operational reports. The role will focus on program coordination, financial tracking, and operational support, particularly for the internship program, intern extensions and approvals, and maintaining headcount and program trackers.
  • This position will partner closely with Research Operations and Resource Management leadership to support operational workflows, maintain accurate tracking systems, and prepare reporting that helps leadership understand program activity, resource allocation, and spending trends across teams. The role requires strong attention to detail, the ability to manage multiple trackers and datasets, and the ability to coordinate effectively across stakeholders.

Key Responsibilities

Resource Management & Budget Operations

  • Support budget tracking and expense reporting using structured Excel trackers
  • Assist with maintaining headcount allocation and resourcing data across research programs
  • Support intern program operations, including tracking hiring pipelines, monitoring internship budget usage, and managing extension requests
  • Maintain operational spreadsheets and reports related to budget tracking and resource visibility

Research Operations Support

  • Maintain portfolio tracking and operational data within the project portfolio platform
  • Coordinate data collection across research program managers
  • Assist with operational reporting pipelines and dashboard updates
  • Help manage follow-ups and coordination across research initiatives
  • Support documentation and logistics for portfolio reviews and operational meetings

Role Context

  • This role supports two operational domains within the Research & AI organization:
  • Resource management and financial operations
  • Research portfolio operations and reporting
  • The contractor will help ensure operational processes remain consistent and data remains accurate while supporting coordination across research, resource planning, and program management teams.

Required Skills & Qualifications

  • Looking for candidates with 5-10 years experience
  • Strong program or operations coordination experience, preferably in a technical or research organization
  • Experience supporting budget tracking, expense monitoring, and financial reporting (not financial modeling)
  • Ability to organize and synthesize operational and financial inputs from multiple stakeholders into structured trackers and reports
  • Experience maintaining and managing structured data across operational systems and reporting tools
  • Excellent organizational skills with strong attention to detail and follow-through
  • Comfortable coordinating across multiple stakeholders and maintaining operational tracking systems
  • Strong written and verbal communication skills
  • Ability to work independently, manage multiple priorities, and keep operational workflows moving forward
  • Experience with tools such as Excel, Power BI, SharePoint, Slack, or similar operational platforms preferred.

Compensation

  • $45.00 to $49.05 per hour.
