Job Description

Service Specialist

Shift: 9:00 AM – 6:00 PM

Location: Downtown Louisville (2-floor office environment)

Rate of Pay: $14.00 - 16.00 per hour (based on experience)

We are seeking a professional and customer service–focused Service Specialist to join the Opensity Solutions team at our law firm client’s downtown Louisville office. In this pivotal role, you will provide a variety of administrative support services across a two-floor office, which may include copy, print, mail, hospitality, facilities, floor coordination, and receptionist responsibilities.

Parking: Parking is not provided by the client. Monthly parking costs in the area can range up to approximately $110 per month, depending on the selected lot.

Essential Job Responsibilities

Mail Services

  • Complete four scheduled mail runs throughout the day.
  • Meter, sort, and distribute mail and accountable packages according to schedule.
  • Perform hand deliveries within the building.
  • Complete deliveries by car to locations across downtown Louisville.

Copy Services

  • Accurately produce copy, print, scan, and bind projects per written instructions.
  • Assist with printing and preparation of legal documents.

Reception

  • Answer incoming telephone calls and route them to the appropriate person.
  • Greet and announce visitors in a friendly and professional manner.
  • Serve as backup reception support as needed.

Hospitality Services

  • Coordinate setup and breakdown of conference rooms.
  • Maintain client conference rooms, common areas, and kitchens.
  • Inspect and ensure all rooms are clean, stocked with supplies, and ready for continual use.
  • Organize and distribute kitchen supplies.
  • Maintain inventory control and order supplies as needed.

Floor Coordination

  • Maintain copy rooms and stock general office supplies.
  • Deliver paper and perform basic daily maintenance tasks.

Facilities Services

  • Hang pictures, assist with small office moves, coordinate cleaning services, and communicate with key client contacts regarding building or equipment concerns.

Qualifications & Requirements

  • High School Diploma or GED required.
  • Minimum of 1 year of work experience in a customer service–focused role.
  • Previous experience in reception or supporting a law firm environment is a plus.
  • Strong multitasking skills with attention to detail.
  • Ability to resolve issues with professionalism and tact.
  • Valid driver’s license and reliable vehicle required.
  • Employee will be reimbursed for mileage incurred during work-related travel.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift, or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand, or sit for extended periods of time.
  • Business professional attire required, as this is a law firm environment.

Compensation

The compensation range for this role is $14.00 – $16.00 per hour, based on experience. This position may also be eligible for an annual bonus. Actual compensation within that range will depend on the individual’s location, skills, experience, and qualifications.
