Job Description

We are seeking a high-energy, service-oriented professional to serve as the face of a leading Chicago-based consulting firm and a key driver of office operations. This multifaceted role requires a smart, self-motivated problem solver who can seamlessly pivot between executive support, complex project management, and office technology implementation. Responsibilities

Office Management & Operations

  • Manage reception, greet guests, handle security access, and oversee incoming/outgoing mail/deliveries.
  • Maintain a professional office environment; manage vendors, place work orders, and monitor office supply inventory.
  • Disseminate internal announcements and manage the dictation/transcription workflow for client meetings.

Administrative & Executive Support

  • Provide direct support to the EVP and backup support to the CEO, handling confidential matters, calendar management, and travel arrangements.
  • Lead firm-wide projects, assist with employee onboarding/offboarding, and prepare materials for staff and board meetings.
  • Process expense reports, organize bills for payment, and resolve invoicing discrepancies.

Technology & Database Management

  • Serve as the point of contact for office hardware (Avaya phones, Konica copiers, Olympus recorders) and software (Zoom, DFE Database).
  • Assist with rolling out new technology, creating process documentation, and troubleshooting user issues.
  • Manage client project entries and maintain accurate conversation history within the firm’s database.

Marketing & Special Projects

  • Collaborate with the VP of Communications on advertisements and mass email campaigns via MailChimp.
  • Coordinate internal corporate events and external social gatherings.
  • Manage the logistics for the Annual Board Weight Study, including data research, mailing list management (2,600+ recipients), and progress tracking.

Ideal Experience

  • College degree with 3+ years in a corporate office environment.
  • Advanced MS Office (90%+ test scores), Adobe Acrobat, and database navigation.
  • Minimum 65+ wpm.
  • Proven ability to organize processes, communicate updates, and pivot quickly between shifting priorities.
  • Exceptional written and oral skills with a high aptitude for proofreading and editing.
  • Self-motivated, high-integrity professional who requires minimal supervision and takes pride in being the "face of the firm."
